Are you an experienced administrative professional with great organizational and technical skills, a keen eye for details, strong communication skills and an interest in supporting an executive focused on ensuring excellence?

We are currently seeking a qualified candidate for the role of Executive Assistant, reporting to the North Carolina Community Foundation President/CEO, supporting the work of our board of directors and executive leadership team.

The NCCF is the single statewide community foundation serving North Carolina and has made more than $184 million in grants since our inception in 1988. With more than $290 million in assets, NCCF sustains more than 1,200 endowments established to provide long-term support of a broad range of community needs, nonprofit organizations, institutions and scholarships. The NCCF partners with a network of affiliate foundations to provide local resource allocation and community assistance across the state. An important component of NCCF’s mission is to ensure that rural philanthropy has a voice at local, regional and national levels.

Core responsibilities include:

Executive Support

Perform a broad variety of administrative tasks for the President and CEO including:

Manages an active calendar of appointments including travel itineraries and agendas.
Completes expense reports and composes and prepares correspondence that is sometimes confidential.
Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office.
Researches, prioritizes and follows up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.
Prioritizes conflicting needs; handles matters expeditiously, proactively and follows-through on projects to successful completion, often with deadline pressures.
Schedules internal meetings (general staff, leadership and departments) and arrange for off-site venues when required.
Builds rapport and relationships with individuals and organizations that routinely interface with CEO
Support to Board of Directors

Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including scheduling of all board and committee meetings and advance distribution of materials before meetings in electronic format.
Attends all board meetings, take minutes and ensures all minutes are properly signed.
Keeps records, follows up on action items and ensures open lines of communication.
Leadership Team Liaison

Assists in scheduling and attending meetings to ensure follow up for the President and CEO is completed as necessary.
Provides administrative support to NCCF leadership team including scheduling, meeting logistics and trip files.
Prepares, reviews and edits various materials including reports, presentations and correspondence.

Minimum Qualifications:

Associate degree in business or related field of study, or equivalent work experience providing administrative support
Minimum of 4 years’ executive level administrative experience
Experience in philanthropic/nonprofit sectors is a plus
Excellent understanding of customer service and relevant skills
Proven ability to manage multiple priorities in a fast-paced environment
Strong computer skills, including Microsoft Office, databases and online systems
Willingness and ability to occasionally work during non-standard hours for meetings and events or for travel
