Photo Release for Catapult Events
The release you agree to when you register for or attend a Catapult event, and how we use the photos, video, and audio we capture.

Catapult Employers Association (“Catapult”) photographs and records many of its events. We do it so we can show members what these events are actually like, recognize the people who take part, and promote future programs. This page sets out the release that applies, what we capture, and how we use it.
1. What This Covers
This policy applies to every event Catapult hosts, sanctions, or co-hosts, including the annual Leadership and HR Conference, in-person and live virtual training courses, certificate programs, roundtables, member networking events, award presentations, and any other Catapult gathering.
2. Release
By registering for, attending, or participating in a Catapult sanctioned event, you agree to the following:
I hereby grant Catapult and its agents and designees irrevocable and unrestricted permission to use, reproduce and publish any and all photographs/videos/voice-overs that Catapult or its agents or designees take/record of me or of my family at Catapult sanctioned events or in which I may be included, for promotion, publication, illustration, trade, advertising and any other lawful purpose and in any publication, multimedia outlet, website, social media, or any other manner or medium, without payment or other consideration.
As such, I hold harmless and fully release Catapult and its agents and designees from all claims, demands and causes of action arising out of or in connection with the organization’s use or publication of said photographs/videos/voice-overs.
If you register a family member or a guest, or bring one to an event, please make them aware of this release before you arrive.
3. How We Use the Materials
The release in Section 2 governs. This section describes what that looks like in practice and does not limit it.
We may use the photographs, video, audio, and livestream footage we capture on the Catapult website, in email to members and prospective members, on our social media channels, in printed and digital marketing, in press and media outreach, in event recaps and reporting, in promotion of future events, and in internal archives and training. Use may continue after the event has ended and is not limited to a particular period or region.
4. How We Work
These are commitments about how Catapult conducts itself. They describe our practice and do not limit the release in Section 2.
- We do not attribute a statement, an opinion, or a quote to you that you did not make.
- We do not use photographs or recordings in a way intended to embarrass or misrepresent you or your employer.
5. Questions or Concerns
If you have a concern about appearing in photographs or recordings from a Catapult event, contact our events team at meeting@letscatapult.org and we will talk it through with you.
6. Virtual Sessions and Recordings
When a live virtual session is going to be recorded, we tell you before it starts. If you turn on your camera, speak, or type in the chat during a recorded session, that may be captured in the recording and used as described above. If you prefer not to appear, leave your camera off and send your questions to the host privately.
7. Media, Speakers, and Sponsors
Members of the press occasionally attend Catapult events. Working media are not under Catapult’s control, and this policy does not govern what they capture or publish.
Speakers, sponsors, and exhibitors may also be covered by the terms of their own agreement with Catapult, which takes precedence over this page where the two differ.
8. Photographs You Take
We are glad when attendees share their own photos from our events. Please be considerate of the people around you, and do not photograph or record another attendee who has asked you not to. Please also do not record a session’s content for redistribution.
9. Changes to This Policy
Catapult may update this page from time to time. The version posted here at the time of your event is the version that applies to it.
